A SMS campaign can be used to send a certain text to group of people participating at the event. For example, it can be used to send participants of a workshop that the workshop will start in 10 minutes or to communicate last-minute changes.
1. Setup
To setup the SMS campaign:
- Name the campaign
- Select ‘SMS’
- Pick your country code in the drop-down menu
- Choose one of the two phone numbers
The text will be sent to the phone number that is filled out in the ‘Mobile phone’ field.
2. Content
Now you can add the content by clicking ‘edit’. You can personalize the content as well as the layout.

Invite people to your event

To invite people to your event, you can use the email application in your attendee list. Before you can send an invitation email, make sure the setup of the emails was done correctly. Otherwise you won’t be able to send the emails and a warning will pop up.
From the attendee list, there are two ways to send an invitation. First it is possible to click the most right envelop of a specific attendee and click ‘send invitation’. Second, it is also possible to send an invitation to multiple people at once. By clicking ‘send’ you can choose to send the invitation email to ‘selected’, ‘filtered’ or to the whole event.
The status of the invitations is displayed in the ‘Mails’ section. Here you can filter your invitations based on their status by checking the boxes. There are 7 possibilities:
- Queued: the email is waiting to be sent
- Processed: the email was sent, but the attendee didn’t receive it yet
- Delivered: the email was delivered with the attendee
- Open: the email was opened by the attendee
- Bounce: the receiving server denied the message
- Deferred: the receiving server delayed acceptance of the message, but EVENTsight keeps trying
- Error: the email can’t be sent
By clicking on the status of an invitation, a detailed log is shown.

Add attendees to campaigns

Attendees can be added in the ‘Recipients’ tab:
- Click ‘Add recipients’
- Type (a part of) a name in the search bar
- Click on the attendees you want to add
Attendees can also be added from the attendee list:
- Click add to campaign
- Select the desired campaign
- Add a filtered list, a selection of attendees or all the attendees (event)
In the ‘Recipients’ tab, you can also check the status of your campaigns. You can filter your invitations based on their status by checking the boxes.
For emails, there are 7 possibilities:

1. Setup
Go to the ‘Campaign’ section to add an email. You have to setup the campaign by filling out the details:
- A campaign name
- The senders’ name
- Choose an email address that ends with @eventsight.eu (template) to avoid spam filters
- A reply-to email
- A subject
2. Content
Now you can add the content by clicking ‘edit’. You can personalize the content as well as the lay-out.
Email campaigns can be used for different purposes. An example is an email which contains an evaluation form about the event.

1. SMS to attendee
If you want to send your attendees a personalised text message when they arrive:
Go to ‘Setup’ > select ‘SMS options’ > setup SMS tool > toggle the button for ‘Notification to guest’To setup the SMS to attendees:
- Pick your country code in the drop-down menu
- Choose one of the two phone numbers
- Define your text message in the ‘Notification to guest’ textbox: you can insert first name, last name and event name so the SMS will be personalised for every attendee
The text will be sent to the phone number that is filled out in the ‘Mobile phone’ field.
2. SMS to third party
You can also send a message to a third party (account manager or organizer) when the guest arrives.
Go to ‘Setup’ > select ‘SMS options’ > setup SMS tool > toggle the button for ‘Notification to third party’To setup the SMS to third party:
- Pick your country code in the drop-down menu
- Choose one of the two phone numbers
- Define your text message in the ‘Notification to third party’ textbox: you can insert first name, last name and event name so the SMS will be personalised for every attendee
This text message will be sent to the phone number filled out in the ‘Send alert SMS to’ field.
